2026 Springtime Update

It's a new year, Spring is springing up, and The Ilios Team is heads down working to execute our plans.

At our inaugural CodeJam for the year in January, we identified our three primary themes of focus for the first half of the year:

providing robust support for compliance with the new Title II federal guidelines on accessibility which begin on April 26th this year;
expanding the reporting suite and associated data analytics tools and methods to support on-demand and JIT accreditation needs; and
aggressively working to improve and refine the overall user experience for all aspects of the platform.

Our goal this year is to take a very good platform, and make it so that it "feels" as good as it is. I don't know if there is a field of study for UX 'vibes', but it is good UX vibes that we are looking to build with this work. We hope you agree and approve of the outcome.

Among the other upcoming targets for improvement: ILM (asynchronous learning activity) session creation and workflow improvements; vocabulary term management improvements; and learning materials upload and management.

While we continue to chug along here at Ilios headquarters, chipping away at our technical debt and housekeeping, we continue to tackle features we hope will set you up as users to be more effective in your educational work, and better prepared to support your curriculum governance and accreditation needs!

Beginning with v3.116, the dashboard now includes a long-requested feature for users who interact with Ilios in multiple contexts (administrator, instructor, learner): if you have multiple roles within Ilios, you now can toggle between them to allow your dashboard to show only the activities for a given context.

For example, if you are a course administrator (eg director) but also have individual instructional duties, you can now filter to show only your direct instructional activities - and not the entire calendar of activities in a course block. Each context of Instructing, Learning, or Administrating can be selected individually. Users who do not have multiple contexts will not see these filters.

Also of note, the link to generate an .ics calendar feed link has been moved, and is now a "single-click" action button, more conveniently located immediately to the right of the dashboard "Calendar" button.

Our final feature update of note this cycle is the addition of an embedded link directly to the Ilios User Guide placed in the header of the application.

This information link will open the public user guide in a separate window to provide immediate support and guidance for users of the platform.

TECHNICAL NOTE: For those of you managing your own implementations, please note that Ilios now requires PHP 8.3 (as of version v3.113) so please be sure to update your systems for compliance.

While the sun may fall behind the moon's shadow today, Ilios, though a bit behind in our timeline progress, isn't falling behind anything dark!

We are continuing this quarter to update the system with improvements to code, including some nice additions to the UI which include simplifying calendar viewing for users with multiple roles, new and better reports access, and more. The current stable release, v3.111.2, includes numerous codebase, dependency and library updates, including access to the 2024 MeSH data set (instructions for updating are on Github). We encourage all institutions to update at their soonest convenience to access the improvements and maintain security and stability for the system.

CURRENT HIGHLIGHTS:

What to say about 2023? We've achieved some notable milestones in work on Ilios, while others have had to be postponed or delayed, as we have addressed our own organizational change here at the University. As of this month, we have launched our app-specific B2B authentication token system, which should provide significantly more security and stability to integrated systems leveraging the Ilios API and data. We have completed the core code updates and enhancements necessary to launch our completely rewritten GraphQL-based reporting suite, which will now land early in 2024. We have made literally hundreds of updates and additions to the UI, in order to provide a more coherent, accessible, and consistent experience for all users.

For me personally, it is now almost exactly 15 years since I began my engagement with the Ilios application, and curriculum management design. The field itself has transformed during that time - as has the Ilios platform - and as we enter 2024, it is clear that one of the next challenges we will take on is how to adapt and leverage the burgeoning world of generative AI and large language models to the already complex toolset of curriculum, curriculum mapping, CQI, and education at large. What anything will look like 15 years from now is anybody's guess. I sure don't know!

What I do know is that for the time being Ilios will continue to work at providing data, access, and insights for curriulum planners, managers, educators, and learners across the health sciences spectrum.

CURRENT HIGHLIGHTS:

Since our last update, the Ilios team has been busy with internal infrastructure updates here at our UCSF home, so progress on our roadmap has been a little slower than hoped. But the updates and upgrades elsewhere are now complete, and we are back to our focus on reporting tools for Ilios! We are also hoping to quickly complete the long awaited work providing for B2B/App-to-App service accounts in Ilios, to better and more securely leverage API connectivity and integrations with other external tools and systems.

If you or someone at your institution runs (or desires to run) an integration between Ilios and a 3rd party tool or application, we'd love to hear from you, to better understand your use case(s) and needs in this regard.

We are hoping to have some initial work in the new reporting suite available for you in the next set of upcoming releases, and look forward to feedback.

CURRENT RELEASE HIGHLIGHTS:

We have just released the latest update to the code, v3.102.0, which is now available for download and installation. Along with some great new features for learners, this update includes major enhancements to the course visualization tools, another round of significant performance improvements, and a number of minor bugfixes, security and usability enhancements, and we recommend updating your systems at your earliest convenience.

VISUALIZATIONS This update includes major revisions and improvements to the course visualizations, improving the accuracy of aggregate counts, cleaning up the presentation, and generally making them more useful to you.

NEW FEATURES: Presentation of linked ILMs ("Pre-work") Also included in the latest round of updates is a significant change (and we hope improvement!) to the way linked prerequisite ILM work (or "pre-work") is presented to learners. While no changes have been made to the management, workflows, or mapping, we have greatly simplified the way learners see and consume these materials.

THE WAY IT WAS: Until this update, "Pre-work" - essentially asynchronous (ILM) sessions that were expected to be completed prior to the engagement of another activity - were presented to students as a separate category of learning material or activity, and listed in their own table, separate from other material listings, and external to the calendar. It would appear above the Week At A Glance listings (as well as in-line with other LM listings in WaaG), called out as links at the top of event detail pages (separate from session learning materials), and also shown in a table below the calendar grid display. Since these pre-work activities have a listing of "due prior to [the linked activity]" rather than a due date, they are not calendar-friendly, and these approaches were used to facilitate their placement and access.

With the impact of the pandemic, and the increase in various formats of online learning, these presentation choices became increasingly less intuitive and clear for students. So with the latest release of Ilios, we have simplified it.

THE WAY IT IS NOW: Asynchronous learning modules that are linked to upcoming sessions are now presented as modular learning activity materials for that target session; they are presented and linked so that while remaining distinct, they are clearly part of the "required reading". They are also presented to encourage students to review them in context, so as not to lose the frame of their particular objectives, mapping, and curricular frame. The separate table listing below the calendar has been removed, and they are no longer called out separately as "pre-work". These modules are identified with the new icon and can be found in the event detail pages of each activity, as well as in-line in the Week at a Glance listings and the All Weeks searchable list.

With the removal of redundant listing and display, and the placement of work in its logical linear location with other LMs, we hope this update provides a much clearer path to learners in order to assist them in traversing their curriculum.

CURRENT RELEASE HIGHLIGHTS:

Since the end of last year, we have been working on some major under-the-hood updates and revisions to the core code, to keep up with current libraries and package updates; more importantly, we have been refactoring critical components of our styling code, our search components, and of course our reporting tools, in line with the current roadmap. We will continue to place our focus on accessibility, sustainability, and reporting through the first half of this calendar year. In our most recently released update, v3.105.0, these begin to surface in more apparent ways.

SEARCH: one of the efforts that has been active since the start of the year is the refactoring of our global search tools. This is due to some (deep in the weeds) complications between AWS, Elasticsearch, and Opensearch.

(N.B. This next paragraph is for just for folks who like getting deep into details. The rest of you feel free to skip on.) Opensearch is currently API compatible with the Elasticsearch PHP client, but there is a significant risk that this will not remain true. Elasticsearch's PHP library (and other clients provided by Elastic) include a check to ensure they can only be used with official elastic servers, locking in a user to a single commercial vendor solution. We've elected to maintain the broadest API compatibility by moving to Opensearch - which does not include that check.

As Ilios hosts on AWS, and we know other schools are using that cloud platform as well, the switch to Opensearch best serves the needs of our users at this time. If you are running Elasticsearch with your Ilios instance, please contact us for additional assistance with this conversion.

REPORTS: We continue to work on building up the new reports landing page and associated tools. We have significantly improved the architecture of this system, but still have a lot of work ahead to improve report responsiveness, integration with visualizations, custom reporting, and presentation.

Sometimes It Happens to the Best of Us

CURRENT RELEASE HIGHLIGHTS: SECURITY UPDATE

A bug was recently reported in Ilios which would allow an authenticated user to bypass some of the security controls and read data which they otherwise should not have been able to access. This was introduced in v3.75.1.

While this would not have allowed access from a member of the public or any unauthenticated user, it could have allowed a student to access data about other students including their email address and schedule. This could occur as a result of the accidental sharing of a non-public URL.

While much of the data in Ilios is directory data and available from other sources students schedules, including participation in remedial or individual educational programs may be more sensitive. As such we are encouraging all campuses to upgrade to the latest version of Ilios (v3.101.0) as soon as possible.

EMBER 4 Status: As of v3.98.1, Ilios has moved to Ember 4, providing massive performance improvements (and room for more!). In coming releases, we'll see continued improvements including a shift in our caching strategy.

ACCESSIBILITY: Our latest web accessibility score is a whopping 98.9%, providing broad and consistent accessibility to Ilios and curricular content across the platform.

Our next release will be our 100th point release for the 3rd version of the Ilios Curriculum Management tool. While this may seem a bit random, and non-important, it shows few critical successes:

First: The platform in its v3 rendition has sustained and maintained its successful use and capability for 100 major cycles of development (and many hundreds of minor ones) since its launch in late 2015. This is a laudable lifecycle success.
Second: Ilios continues to grow and adapt without the need (yet) for a major rewrite. While all software needs eventual overhaul, it is another major success that we have yet to hit our point of a required development of a v4 for the platform. In our seventh year, we continue to thrive.
Third: Continuity of Practice. The core team has maintained its coherence and continuity of effort, and has extended the community in practice year over year - a badge of successful team effort, engagement, and management.

What does it take to maintain an Open Source Software platform like Ilios?

When working in the world of Open Source, you have to accept that you are not only producing a product, but you are joining a broad community - a community of communities, if you will - of which your work will be a part. You will be receiving input from others, providing input to others, and generally depending on one another as you craft and nurture your own specific project. It is a huge, global collective built on skill, trust, respect, and a spirit of openness.

So what does that mean in real terms?

While you have ultimate control over what goes in (or doesn't) to your own product, you will be relying on many, many other projects which make up the infrastructure of your software world (and that of the global public as well). Keeping up with these, making sure that your versions match your needs, and that you are aligned with them, is a large part of the Open Source effort. So a lot of time and energy can go into maintaining the community presence and network: not something your end users ever really see, but something which definitely can impact their ability to receive cool new features rapidly.

With Ilios, to give you just an idea of what this means here are some numbers:

More than 39 direct dependencies and more than 153 transitive (indirect) dependencies for PHP (core code);
More than 88 direct and more than 7,668 transitive dependencies for Javascript (presentation layer)

Each of these dependencies is a whole project in itself, with multiple areas of concern for us to track and address on a regular basis.

We try to balance all this as best we can for our users each cycle; making sure to address the structural maintenance and update needs of the system, identifying and addressing upstream security issues before they can impact us; and still keeping our cadence with the delivery of user-facing features and updates, whether those are specific requests from a school or user group, part of the larger development roadmap plan, or simply cleaning up the interface for a better experience overall.

For the last quarter, we have been deeply invested in the first part of this equation: the work of upstream and infrastructure housekeeping, updating, and alignment. This has been a heavy lift for the team, as there has been a lot of action upstream from us that impacts our ability to keep moving forward with development! I'm happy to report that we are closing in on the end of this push though, and some of the things we've been able to include along the way include:

major improvements to web accessibility across Ilios (now nearing a score of almost 98%);
significant performance, stability, and security improvements;
numerous minor bugfixes for search, icon representations, and learner group management;
all necessary updates to the Curriculum Inventory Report system in order to meet the new requirements and guidelines of the AAMC for 2022.

We are looking forward to returning our focus to more user-facing feature updates in the coming months, and keeping Ilios up to date, secure, and ready for your institutions to use to the fullest of your interests.

Autumn Updates

Welcome to pumpkin season here at Ilios! We have now released v3.90.3, which includes notable improvements for both instructor and learner views, as well as a bunch of under-the-hood code updates to make Ilios better. With 9 core releases since the beginning of June 2021 (and an additional 14 other UI and frontend releases), we have kept on a fairly aggressive release schedule for updates and enhancements despite the vagaries of pandemic times. We hope you and your users have appreciated the continued dedication of the Ilios team.

The AAMC Curriculum Inventory upload window is coming to a close, so if you participate, please remember to get your report into the portal prior to the 21st of October. There will be no extensions this year!

Spring Is Springing

Since the release of the most recent version of the API in 2020, there has been a burst of effort from the development team to update the platform code to conform with constantly evolving requirements in our native technology stack and with upstream dependencies. This is, in the open source world, more of a steady state than a single effort, but for Ilios it is important to note the impressive achievement this focus has been over the past year, and just how it is now paying off.

With exponential improvements in speed and responsiveness for many areas of the system, including bulk data management, we hope these changes improve the experience for your learners, your administrators, and your entire Ilios community.

At the end of January 2020, we completed the deprecation and EOL of our v1 API, and now all external connections to Ilios - beginning with Ilios v3.86.0 - require calls to the current v3 API. In addition, 2021 is looking to be yet another tremendous year for Ilios development and growth; we have lots in store in way of improvements and expansions, and you should be seeing these in the coming months.

Changing the World - Tag, You're It!

We have a couple notable updates: first, we've launched (as of v3.75.1) the ability to tag unique objectives across the curriculum with your vocabulary terms, not just MeSH. Additionally, we are well on the way to completing our conversion to our new version of the Ilios API. We will be running both versions in parallel until the end of the 2020 calendar year, but we encourage you to follow our updates, and be ready to reconfigure any integrations or analytics which rely on the _v1_ API or on the current data schema of objective tables.

We will be publishing further information and guidelines on how to update your integrations and reporting to assist you in this migration, and we look forward to being able to provide a better, more functional and easy to use API for your educational ecosystem needs.

We may all be working from home, but we're still working hard. Since March, we have pushed a number of updates, improving usability, updating code, and fixing bugs. We also have pressed forward with our efforts to refactor the objectives system to allow for the tagging of objectives with vocabulary terms, the expansion of the offerings manager to include better tools, including the ability to attach individual learners and site management, and much more. Our accessibility score has been improved to a notable 98.7%, and we look forward to continuing these improvements through the rest of the year.

COVID-19 Days

With the current global health crisis, our thoughts go out to all our colleagues and friends around the world: we hope that you are staying well, and safe.

Here at our base is San Francisco, the Ilios project is continuing our work and development roadmap. At the same time, as a part of the UCSF community, we are doing our part to support the needs of our community, educational programs, and health services.

While none of us can foresee quite what the next few months have in store for us all, at the very least we are hoping that we can provide some great positive notes amid the home isolations, EM and ICU reports, and the challenges of finding a roll of toilet paper at the local store.

New Year New News

A Happy New Year to you from Ilios and the Ilios Project!

In this month's first core team Codejam of the year, which was held on Thursday, January 23rd, we have allocated some priorities to our proposed roadmap for the first half of the 2020 calendar. Included among the critical features we will be addressing (or at least targeting) between now and the end of June:

Accessibility Improvements: The student user experience in Ilios is now at a WCAG "AA" level, with an accessibility score of 78.3%. Our goal is to be at "AAA" and over 90% by early Spring of 2020.
Offering Manager Improvements: We are planning a full update and rewrite of the interface for Offering Management. Some of the items to be addressed are better group and user assignment, easier scheduling, bulk actions, and simplified workflows.
Calendar Filter Updates and Improvements: The calendar filters will be updated to be much more user-friendly and easier to access, providing better and more rapid return of desired calendar information and threads.

New Roles and Permissions (TA, Peer Tutors, Observers): We will be adding a number of new ways for users to interact with the curriculum, to allow for the tracking and management of these types of roles.
Error Tracking: Our DevOps team will be adding a number of new monitoring tools to allow for the better tracking and management of issues on the servers.

On September 30, 2019, v3.69.2 was released, with updates to the Curriculum Inventory, search indexing, and a number of bugfixes to school management. Most notably, the Curriculum Inventory tools now include a verification report preview, allowing you to review your data in the primary tables from the AAMC verification report.

Additionally, we are happy to note major progress in our efforts to make Ilios fully accessible according to the WCAG standards. While already achieving a reasonably high rating (66%), our expectation is that by the end of this month, student-facing platform systems will be achieving a score of 75%+, with full AA compliance.

We continue to improve the new search tools, and would love to hear your feedback on their use. If you are a self-hosted school interested in activation search, please contact us, or better yet, consider hosting with us and be guaranteed to always stay up to date with new features and improvements.

Our latest release, v3.67.2, includes small but significant improvements to the Curriculum Inventory tools, and a ton of minor updates, bugfixes, and enhancements.

My Materials / Course Materials: Did you know your students have easy access to a searchable, sortable list of all their available learning materials in Ilios? If they need to find a document, link or deck for review -- whether for general study, prep for a high stakes exam, or any other reason -- they can do so using their "My Materials" link. Similarly, for faculty and administrators, the Course Materials link in each course management page provides the same searchable, sortable view of all the learning materials associated with a given course. Just click on the file box icon in Course Details.

With the latest release, v3.67.0, we have taken the "experimental" flag off the new search API. While it isn't yet exposed, it will soon be available to hosted Ilios schools. If you are running ilios locally, please contact us before looking to implement, as there are some significant additional tools and systems required.

We've improved our interfaces for a better experience with page loading, and also updated the Curriculum Inventory tools to address changes mandated by the AAMC for this cycle.

Welcome to a new year, a new release, and a new set of development goals for the Ilios Project in the coming year! Key features identified as target milestones for our 2019-20 roadmap include:

SEARCH: We have begun a year-long initiative to begin the incorporation of deep search. We expect to include search across the entire curriculum and its content.

Session Linking: Session linking tools will be available in the next release.

Configurable options: We expect to be providing the ability to modify an array of different school level attributes, including the time-window for calendar integrations and dashboard displays, naming conventions, and more.

Selectives: The ability to tag and group sessions as selectives within the curriculum.

Improved and extended rollover: This will allow the rollover of entire group trees. There will also be selective choice of attributes for rollover in a course. Finally, this will include better publishing control.

Improved Curriculum Inventory tools: Better, more flexible tools to represent your curriculum to the AAMC Curriculum Inventory.

Did you know you can copy / clone any learner group, along with all of its members? Well, you can!

If you are running v3.38.0 (or later), and have updated your frontend to the most recent version, it's easy. Just pick your group and select the "copy" icon, and you will be able to create a complete copy of everything in that group, either with or without the students populating it: all its subgroups and sub-subgroups, all names and structures.

If you select the option to copy the population of the group as well, then all the students will be copied into the new clone exactly as they are in the original.

We are pleased to announce the immediate release of Ilios v3.36.1. This minor point release provides a number of bugfixes and enhancements, notably the addition of the ability to view PDF materials either inline or as a download, and the inclusion of user calendars on every profile page.

The new Profile Calendar allows administrative users with proper privileges to review at a glance the actual live week by week calendar for any of their users. Just go to the Admin page (from the Ilios menu), search for the user you wish to review, and scroll down to the calendar. It will reflect exactly what the user is receiving in their personalized calendar experience in Ilios.

How to View a User's Calendar: (If you have Admin privileges) Using the Admin Menu option, search for and select the user whose calendar you wish to review. On their profile page scroll to the section on the lower left of the screen to the "ICS Feed" panel. Click the "Web Link" button to copy the ICS address for the user. Using your preferred calendar tool (Google, Outlook, Apple, etc), follow the instructions for "adding a calendar via url", using the copied link. Once done -- the user's calendar will be shown in your selected calendar application. (N.B.: To greatly simplify this process, we will be adding a user calendar quick view to the UI in the coming weeks. Keep an eye out for updates!)

See the Weighted Value of Course Objectives: In any course page, click the donut chart icon in either the summary detail section or in the course objectives section, and you will be taken to the visualizations page showing the course objective weightings.

We've been a little quiet the last couple weeks, so I thought it would be good to let you all know that while quiet, we aren't on vacation on some warm tropical beach in a hammock sipping drinks served in coconuts (as pleasant as that sounds!) We released Ilios v3.33.0 recently, which is available for immediate download and deployment. And we've been working away on a number of exciting developments, including some new exposure to the backend CI mapping tools, and an LTI component for Moodle, Canvas, and other LMS systems.

We will be officially launching and announcing all these great updates in our next cycle, but right now it's the slow summer season, and we continue to focus on our work from the undisclosed secure location of the Ilios bunker.

In the meantime, enjoy the new Session Type Management tools and the other latest greatest updates, and look out for more good stuff soon!

So, where are we with progress on Ilios, you might ask? Well, let me tell you! Things are going great. Today we've released the update v3.28.0, with the ability to sort the display order of learning materials, improved upstream code libraries, and much more.

Additionally, we have begun development on data visualizations in Ilios, and expect to have some really fantastic things to show you in upcoming releases between now and June. If you are curious to hear more, or want to contribute to the project as an individual or institution, please let us know!

Terms of Reporting

The world may seem a cold place right now, but warm your hearts with the news that our latest update, v3.25.0, is now available for download.

Among the various updates included in this release, The API has been updated (to v1.13) to incorporate updates to terms filters to allow extension of MyReports models. Also, with the long-awaited completion of test suites and systems updates for Curriculum Inventory, we are able to remove the "Beta" tag from the CI, and continue into the coming year with full CI test coverage and code integrity.

We are pleased to announce our latest update, v3.24.1. As our inaugural 2017 code update, as well as our first Friday the 13th update, we are delighted to be able to provide a few behind the scenes bugfixes and dependency updates, including an important security update (see below).

API Changes: None

Schema Changes: None

Other Changes: corrected a bug introduced by the new calendar year which made rolling a course into the current academic year unavailable.

SECURITY UPDATE: This update includes a critical update to the mail transport, closing an exploit which could potentially allow the execution of arbitrary code on the server by an outside source. Complete information is available here. https://cve.mitre.org/cgi-bin/cvename.cgi?name=CVE-2016-10074. Although it is extremely unlikely that this issue could be exploited through Ilios, we nevertheless strongly encourage you to update your system at the earliest opportunity in order to implement this fix.

On a final code note: As of January 1 2017, PHP 5.6 has reached end of life, and will no longer be actively supported. Security support will also end after 2018. For this reason, we strongly encourage you to begin migrating to either of the current supported PHP versions, 7.0 or 7.1. Q: Can I Access All My Learning Materials?:

A: Beginning with our latest release, v3.22.0, you can. Along with the new course-based Learning Materials Summary page (accessible by course administrators from every course management page starting with v3.21.0), every user now has access to their entire history of digital assets from Ilios, available from the "My Materials" link in the identity/login dropdown at the upper right of the Ilios window.

This page allows for sorting (by date, title, course, session), filtering (by course, course title, session title, or material title), and is specific to each user, so that learners have access to all assigned materials over their entire history.

We look forward to feedback from the community on this much-requested feature, and hope to be able to refine it and make it even better in the coming months.

Q: How Do I Update My Ilios Frontend?:

A: The Ilios frontend is always up-to-date on our content-delivery servers at Amazon S3, but you will need to regularly run a console command on your backend instance in order ensure that your users are seeing the latest version and that they are getting all the latest features and bugfixes. To make sure you users are receiving the latest frontend code at all times, just follow these steps:

-- Log in to your Ilios API (backend) server and go to the root folder of your Ilios application (/web/ilios; for this example):

$ cd /web/ilios3

-- Then run the ilios:maintenance:update-frontend console command, in the context of the user that runs your webservices (eg. 'apache'):

$ sudo -u apache bin/console ilios:maintenance:update-frontend --env=prod

-- When it is done, you will then see the message:

Frontend updated successfully!

-- and that's it!`

It is a good idea to run this command often (in a cron job, perhaps!) and after any backend update as well, of course!

Like much of the country we were severely impacted by the massive DDoS attack on Dyn and the DNS upstream controls of the internet on Friday the 21st. This left us unable to complete our regular code release that day (or get out our newsletter, or update this site!). However, with the babycam and toaster cyber-army in abeyance for the moment, we are pleased to announce the release today of Ilios v3.21. This is update reflects a number of significant improvements and enhancements to the system and the API, including:

New, comprehensive view of course learning materials;
Additional views into past learning materials for students;
foundations for the new robust, configurable permissions model;
the ability to clone Curriculum Inventory Reports from year to year;
improvements and bug fixes for the CI toolset;
a whole new raft of other housekeeping and under-the-hood bug fixes, code enhancements, and improvements to reduce navigation errors and improve performance and usability.

API Changes:

Added learnerSessions filter to users endpoint;
Added usermaterials endpoint;

Please note that with this version update, we have deprecated the cohort endpoint for the API. The creation and modification of cohorts will now occur internally with the ProgramYear management process. This does not impact the management of learner groups or user-to-cohort assignment.

This week we are pleased to announce the release of v3.20.0. This release includes a number of great updates and enhancements to both front and backend, including:

Extension of the "external course ID" field (ie "short title") to 255 characters;
improved the method for timestamping updates to the system;
simplified the process for deleting learner groups (subgroups no longer need to be removed individually prior to deleting a parent group);
added the display of "special attire/equipment required" flags in the event detail page where it was missing;
corrected a bug which defaulted the academic year in the course list to the wrong year;
improved the display of the checkbox listings for student - to cohort assignment in the admin console;
corrected a bug which caused the "draft" icon to display for courses where the "scheduled" icon should appear instead;
corrected a bug for multi-school users which defaulted their initial schools selection to something other than their primary school;
a whole raft of other housekeeping and under-the-hood bug fixes, code enhancements, and improvements.

With the close of September, your CI reports are hopefully now uploaded to the AAMC, or in the process of getting there; all schools reporting back to us so far have completed and verified their reports, so we are glad that the system is working to satisfaction!

Please remember: after December 31, 2016 all versions of Ilios 2 will be reaching end of life, and we will no longer be able to provide further support for those running the old system. This includes the CI tools in 2.4. We strongly encourage you to upgrade to the latest release of Ilios in order to be able to receive assistance, bug fixes, and continue to deliver your annual upload to the AAMC.

This week there is no version upgrade to the Ilios code / API, but if you are on the latest release (v3.19.0) we have added some nice updates to the frontend.

Ability to lock/unlock courses directly from the course list (for users with permission)
Cleaned up navigation in the admin console
Cleaned up the process for copying/cloning sessions from one course to another
Cleaned up the new user creation tools
Fixed a bug that was allowing objectives and descriptions to be saved as blank values

If you are on the latest release, users should see these updates automatically when they next log in. This week we are releasing an update to address a number of backend security issues and vulnerabilities. The items address in this release, v3.18.1, are listed below.

We are also releasing a number of important frontend updates to enhance usability, which will be available to your system automatically once you have updated to the latest version.

We have identified a vulnerability in the system whereby an authenticated user may in certain situations obtain access to the deletion of locked and/or archived course material inappropriately; this has now been addressed. We strongly encourage all schools to update to the current version to eliminate this security issue (#1577) Other updates:
We have identified a bug in the synchronized calendar feeds from Ilios which affects a user's abliity to access learning material digital files. This bug is only extant in v3.18.0. Please note: this only impacts digital files (not weblinks) and their access from the ics calendar feeds. It does not affect links in the calendar or elsewhere in Ilios. This has been corrected in the current release, and we encourage you to upgrade as soon as possible from v3.18.0 to eliminate this issue for your students. ( #1575)

We are very happy to announce the latest update to Ilios, v3.17.0, and a host of great updates to the interface. Among the newly introduced features:

We are very happy to announce the latest updates to Ilios, which include an update to v3.16.0, and a host of great updates to the interface. Among the newly introduced features:

CAS authentication is now available
Completely refactored offering management tool, with streamlined scheduling and group selection
Ability to copy any session into another course (or duplicate in the same course)
An updated, clearer copyright attestation for learning materials
A whole bunch of bug fixes, UI cleanup, and housekeeping.

SCHEMA CHANGE: Please note that we have added a field to the term data table. The new value is term.active -- providing a boolean to identify if a term is actively available for selection (true) or if it has been retired (false). If you run reports directly against this data table, please update any queries to address this change if necessary. Be aware that this field will not be active at present --- we are just prepping for when we do implement this feature (more on that in the coming weeks).

Additionally (and importantly), we are requesting input from all technical owners and users at all Ilios schools regarding an important change to the default limits for API data. The proposal is to remove the default limit for returned data from all endpoints, requiring an explicit limit to be set if one is desired. We'd very much like to know if this is a pro or a con for you, and whether this will break/help/cause mayhem for any external connections you currently have with the API, or any which you are planning to implement.

This week, we are pleased to announce the release of version 3.9. This update includes some minor modifications and additions to the API, as well as a raft of important additions and updates to the associated frontend code.

Version 3.8 is now available

We are pleased to announce the release of version 3.8. This release launches our new expanded tagging vocabularies, which allow for custom topics and related tags to be created. These tags can be structured in categories with internal hierarchies of parent and child tags, to allow for very rich data mapping.

What is also available via the vocabularies is the Medbiquitous list of instructional resources, for addition to courses and sessions as desired. These are input as a single vocabulary set via script, and will be mapped to the Curriculum Inventory tools in time for upload this year if desired.

We've also provided a bunch of UI improvements, bug fixes, and under the hood improvements. If you have questions, let us know!

A General Update

No release this week, but while we are waiting for a few final fixes to push out the next bundle of updates, I wanted to give you a sense of where we are at with development:

As noted previously, our current sprint will allow us to launch v1.2 of the Ilios API, which will make it possible to expose our new tagging vocabulary model. Other items in the works include improvements to learner groups -- we have put back in the ability to auto-generate sub groups -- as well as further advancement of our user and school management tools. These include at long last the ability to manage some of your basic lookup data at the school level via the Ilios interface, rather than resorting to directly managing that data in the database. The first of these is our competency manager, which along with the vocabulary manager will allow the editing and management of competencies, topics, the new AAMC/Medbiquitous list of instructional resources, and any additional tagging vocabularies that your school may add or customize.

We will be releasing a ton of new features in the coming weeks as well --- user management for LDAP directory connections, course cloning and rollover from the UI, and our new improved Curriculum Inventory tools among them, as well as an improved MeSH parsing tool to let you more easily update your MeSH information to the most current data NLM offers --- so keep an eye open and an ear to the ground, and if you have a chance, let us know what you think!

On Students, Ilios, and Digital Literacy

One of the most challenging things in using a tool like Ilios actually has nothing to do with the tool at all. It is a problem with communication and digital literacy, not just among our faculty and educational staff, but (and most significantly) among our students as well.

Let's face it: Ilios as a tool and a platform is pretty wickedly complex. Lots of moving parts. Thousands (if not millions) of lines of code. Dozens of dependencies....pretty much like any other contemporary application being used as a solution. Even so, most of the complications, user issues, and challenges we have seen coming to the core Ilios team aren't really about that.

Since the start of the year, the overwhelming majority of issues that have been reported to us around student use of Ilios have revolved around issues of general digital literacy and communication. In some cases, schools and programs have vastly overestimated our students' native understanding of the tools they use regularly -- their mobile phones, laptop computers, and wi-fi networks, for instance -- and made assumptions on top of that misunderstanding about how much guidance and orientation they may need to access networks and information here on campus. In other cases, schools and departments have neglected to provide them with even the barest outline of a process by which they can discover the sort of information they need to move ahead: where to go for technical assistance, what to do when they encounter problems accessing information on the web, in their online learning environments, in forums, or getting to a download or streaming presentation.

This is disheartening. But what can we do about it?

Step #1: Better Communication

Even before we starting handing tools to students to help them in their study, we need to be sure that we are telling them clearly not just how to use the tools, but what those tools even are, and how they fit into the landscape of technology and services they need to add to their experience to be successful. That information should start at day one, and must be both consistent in content and over time. The technology ecosystem we work in is complex; with the rapid proliferation of new tools and processes, along with continuing changes in social media use and asynchronous learning models, it is only getting more complicated and dense. It is incumbent on us, as educational technologists, to effectively communicate this complexity to our communities. This is easy to say: it is hard to do. Nevertheless, without effective communications about the things that makes our stuff work -- the underpinnings of our systems, rather than the tools themselves -- any challenges faced by our users will wind up being both misdirected and ultimately dissatisfied with the solutions they are offered.

Step #2: Know Your Students

It is now pretty well documented that the assumptions made about millennial "native knowledge" around technology and the internet have been wildly off base. Instead of being digital natives, who have an intuitive knowledge of how to use the proliferation of tools they are handed, they are more likely to be digital pilgrims: traveling along the road of technology use, collecting whatever seems to fit but often lacking in the linguistic skills to claim true ownership or mastery. The landscape of technology is shifting under our feet every day (hey - off the top of your head can you describe the difference on how to subscribe to a calendar feed on an iPhone 4s vs iPhone 6 vs iPad mini II vs. HTC One? I know I can't.) We need to provide easy, single points of access for this type of information for our students. But even more: we need to let the students know that such information even exists, and that they need to know it, and know where to apply it. this means better outreach from educational tech support teams, better orientation for technology use with incoming students, better coordination among support staff in the messaging used to communicate, and better tracking of interactions. Which takes us back to item #1.

Step #3: Don't Stop

One of the keys to digital literacy is the reinforcement of information and behavior, by both activity as well as passive reinforcement through documentation and training, both formal and informal. What does this mean? At its essence, this means that saying something once, showing something once, training on a system or a tool or a process once, is insufficient. If we correctly understand the level of knowledge and literacy (or lack thereof) on the part of our community, we need to provide ongoing training, continuous reinforcement of knowledge, and the providing documentation.

Is this easy? Of course not. But the systems we are building and integrating are really, really complicated. The multiplicity of applications, data transport systems, proliferating points of failure, not to mention the basic behavioral and usability patterns that need to be absorbed in order to be effective in using systems like Ilios. As much as we all seek the holy grail of usability for educational systems, that will give students, faculty and staff utterly simple, intuitive, and foolproof ways of interacting with data and systems, so far --- despite the truly remarkable innovations we have seen in the last decade in digital tools development --- so far that grail not only remains elusive, but still appears potentially unachievable without radical simplifications in our pedagogies. And rest assured, that isn't a trend any of us are seeing.

All of this certainly applies to my core team here, developing and supporting Ilios. But it is my opinion and suspicion that it is more broadly applicable to many, if not most of our technology initiatives which touch the lives and activities of our learners and those of us who facilitate and support their progress.

Another week, another Ilios build, another chance to move ahead...

The past week saw our launch of v3.5, and in light of the rapid changes we have been implementing, I want to share a quote from one of my favorite authors and social commentators, Douglas Adams:

DON'T PANIC! While we are -- with every release -- making it more and more fiendishly simple to update your codebase, if you miss a release, there is no need to worry. Catching up is easy, and while we are introducing new features and better tools every week, the vast majority of bugs affecting usage of the system have been cleared out. Six weeks out from the launch of Ilios 3, we are pretty darned pleased to be able to say that the application is stable, solid, and being quite well behaved.

Some of the items we've been able to plug in of late: "recently updated" and "draft" icons for the calendar; pagination for session management; collapsing sections for course and session objectives listings; we have also improved processing behavior, cleaned up reams of code, and generally tightened up the application.

Some of the things to look forward to in the coming weeks are memory management improvements, course rollover tools, new tagging management tools, repeat events creation tools, and expanded user administration.

About Our Release Cycle

Just a few words on our current rapid release cycle:

Since ilios v3 was launched back in December, we have been on a highly accelerated release schedule (3.2 and counting!), tagging a new codebase with updates and fixes pretty much every week. Our intention is to continue on this cycle until we reach a plateau of stability and feature-parity with our rather lofty goals; at that point I expect we will slow down (slightly). Our intention though is to maintain a much more rapid (though not breakneck) pace for release, in order to continue to provide more and better tools, features, and support for a 21st century curriculum.

We are learning quite a bit about juggling a system with multiple repositories, not to mention the challenge of keeping our naming conventions and semantic versioning in line.

If you have questions about the code or the process, or want advice on how best to keep up with the releases, please let us know and we will be happy to work with you.

3.1.0 Now Available

Happy New Year! The Ilios team is busy smoothing out the wrinkles in the newborn version 3.0, and are excited to be starting off 2016 with a ton of great initiatives to make Ilios better.

We've also been doing some housecleaning in our communications -- this new website, the online user guides, and a new system for getting out your updates and alerts -- which I hope will improve our ability to communicate and share information among the community quickly and seamlessly. Please let us know if you have further suggestions or feedback!

New User Guide

In order to make your life easier, we have published the first draft of our 3.0 user guide as an online interactive book. You can now click thru and navigate more easily from section to section, search for just what you need, and of course download it to peruse at your leisure as you have always been able to do. More importantly, this format allows us to rapidly update the document as needed in order to respond to changes and updates, and to provide you with pretty much instant access to those updates.

We also are building a "Quick'n'Easy" version of the guide, to provide brief, simple instructions targeted at the most common uses and users.

Both these books are still in draft, but please feel free to review them, use them, and give us feedback and suggestions!

So What's Next?

With the public launch of the Ilios 3 codebase, API, and frontend, you may be asking yourself "Dang! What will they be up to next?"

And that's a great question! Honestly, the work isn't stopping for the core team here. We not only have an aggressive schedule for the addition of frontend features you are expecting, like course rollover, user management, and archiving, but we also are planning sprints to address a whole host of outstanding enhancements, UI tweaks, and feature requests. You can see a whole lot of them on the current issues list. And that's not including enhancements to the backend core code, the API, and the embedded calendar module.

While we always look to address the needs of the overall Ilios community, everyone should be aware that the needs of our primary partners are the priority drivers of our schedule. Version 2.4.8 Released

We are pleased to announce the release of version 2.4.8, available now for download and installation.

This point release includes a number of workflow enhancements to improve the Ilios experience:

A new option for populating user groups, allowing new top level groups to either be pre-populated or generated with no members;
Better color contrast for the icon denoting “scheduled” sessions in the course management pages
This release also corrects a bug introduced with 2.4.7, which disabled the ability to add new users via the administration console.

Ilios 3 is coming!

We have encountered some delays, but the much-anticipated next generation of Ilios is on its way. While we still have some significant development tasks ahead, the core of the course management and mapping system is complete and in the final stages of testing. We expect more news in just a matter of weeks. Stay tuned!

Version 2.4.7 Released

We are pleased to announce the release of the latest upgrade to Ilios, version 2.4.7.

This update includes a number of bug fixes and code improvements focusing on calendar filtering and user account management. Also included are new features extending the time window of the calendar download and feeds to 6 months (3 months back and 3 months forward), as well as a new flag allowing the identification of former students such as graduates.
